How to inventory company data before a partnership conversation
A first inventory should make a conversation easier. It does not need to become a data-room project.
Describe six things
- Asset: What is it? A workflow, playbook, knowledge base, project history or another asset?
- Coverage: How many years, teams or processes does it represent?
- Format: Where does it live, and how is it organized?
- Origin: Who created it, and what third-party material is mixed in?
- Authority: Who can approve a licensing discussion?
- Boundaries: What must be excluded or reviewed before anything is shared?
Use descriptions first
“Five years of process documentation maintained by our operations team” communicates useful context without exposing confidential records. Avoid sending employee messages, customer details or an entire CRM just to see whether someone is interested.
Separate existence from permission
A file being in a company account does not settle every right involved. Identify customer agreements, employee information, vendor material and other restrictions for review. Record uncertainty instead of assuming that every asset is available.
Keep the first version short
A spreadsheet with one row per asset is enough. Add the internal owner and a note about exclusions. Share a high-level description only when an authorized representative agrees.
